Wedding Cake Cost Calculator: Tiers, Time, Delivery

A wedding quote hides more work than any other cake you bake. A wedding cake cost calculator adds each tier's ingredients, then your tasting, baking, setup and delivery time, then the boards and boxes, and divides by one minus your margin.

The example is a three-tier cake with a 6-inch, an 8-inch and a 10-inch tier. The baseline is the 8-inch cardamom pear layer cake from our sample, whose ingredients cost $6.40. The pack prices, minutes and rate are round example numbers, and your own will differ.

A wedding cake is priced by the hours around it as much as by the cake.

Step 1: Cost each tier by its pan area

A bigger pan holds more batter, and the amount grows with the area. A tier's ingredients scale by (diameter ÷ 8) × (diameter ÷ 8) against the 8-inch baseline, if the layers are the same height.

TierArea factorIngredient cost
6-inch(6 ÷ 8)² = 0.5625$6.40 × 0.5625 = $3.60
8-inch1.0$6.40
10-inch(10 ÷ 8)² = 1.5625$6.40 × 1.5625 = $10.00
Three tiers$20.00

Treat that as a first estimate. Bake and weigh one real batch of each size before you quote, because fillings and layer counts change the cost. Dowels, stands and fresh flowers are extra material lines. Cost them and add them to the ingredients. A stand you buy once is a share of its price for each wedding it will serve. A stand you rent is the rental fee. Fresh flowers are what you pay for that cake.

Why a wedding cake cost calculator needs three timers

Wedding work comes in three blocks that a birthday cake barely has. Time them separately.

The first is the tasting and the planning, say 60 minutes. The second is the bake and the decorating, say 240 minutes. The third is the day itself, the drive and the setup, say 120 minutes. That is 420 minutes in all.

Step 2: Time the tasting and the baking

At $18 an hour, the tasting is 60 ÷ 60 × $18 = $18.00. The bake and decorate block is 240 ÷ 60 × $18 = $72.00. The U.S. Bureau of Labor Statistics lists median pay for bakers at $17.86 an hour in May 2025, so treat $18 as a floor.

Start a timer at the tasting and stop it when the last tier is boxed. A tasting you charge nothing for still costs you the hour, and the samples add their own ingredients. Charge at least the $18.00 of time plus what the samples cost.

Step 3: Time setup and delivery on the day

Say the round trip and the setup at the venue take 120 minutes. 120 ÷ 60 × $18 = $36.00. You are not driving for free, so the drive is paid time.

Distance changes both lines. A longer drive adds minutes, which are paid time, and adds fuel. Work the miles out as the round-trip distance times a cost per mile. As a reference, the IRS business standard mileage rate is 76 cents a mile for July 1 to December 31, 2026, and it covers more than fuel. Say the round trip is 40 miles. 40 × $0.76 = $30.40. Use your own vehicle costs if you know them. The mileage is a separate cost, outside the $153.50. The Cake Price and Margin sheet has no delivery or fuel line, so write fuel on the quote as its own line and add it to the total.

Step 4: Add boards, boxes and liners per tier

Each tier needs its own board, box and liner. The sample set is $1.25, $0.85 and $0.40, which is $2.50 a tier. For three tiers that is $7.50.

Step 5: Divide by one minus your margin

Add the blocks. $20.00 ingredients + $126.00 labor + $7.50 boards and boxes = $153.50. At a 40 percent margin, divide by 0.60. $153.50 ÷ 0.60 = $255.83, and the profit is $102.33.

To do this in a sheet, the Cake Price and Margin spreadsheet takes ingredient cost $20.00, labor minutes 420, rate $18, box $3.75, board $2.55, liner $1.20 and a 40 percent margin. It gives $255.83.

Ingredients, three tiers$20.00
Tasting60$18.00
Bake and decorate240$72.00
Delivery and setup120$36.00
Boxes, boards, liners$7.50
Total cost420$153.50

Step 6: Turn the guest count into slices and a price per slice

Ask the couple for the guest count and whether the cake is also the dessert. Then decide the slice you will cut. A slice that runs the full height of the tier has a footprint, say 1 inch by 2 inches, which is 2 square inches. Divide each tier's top area by that footprint.

TierTop areaSlices at 2 square inches
6-inchπ × 3 × 3 = 28.3 sq in14
8-inchπ × 4 × 4 = 50.3 sq in25
10-inchπ × 5 × 5 = 78.5 sq in39
Three tiers78

The count is geometry, so cut a test cake of one tier the way you plan to cut the real one and check the count. Use your own slice size, since the 1 by 2 inch footprint is an example.

To get a price per slice, divide the quote by the slices. $255.83 ÷ 78 = $3.28 a slice. For a price per serving at a different guest count, divide the quote by the guests you will actually serve.

Write the deposit, the due dates and the cancellation rule on the quote at the same time. Example wording, with your numbers in the brackets: "[Amount or share of the price] holds your date. The balance is due [number] days before the wedding." The IRS gives the self-employment tax rate as 15.3 percent, so keep a share of the profit aside, and ask a tax adviser how much.

When a wedding quote needs more than this

The method above covers cost and one margin. It leaves out a venue's setup rules, a second delivery, rental stands that must come back, or a day-of assistant. Cost each of those as its own line.

The Cake Price and Margin file prices one order at a time, and it has no tier, delivery or fuel line. You type totals in. If you quote many weddings at once, a list sheet will serve you better.

Quoting a wedding in a ready-made sheet

  • Will it open in my app? The file is an .xlsx. It opens in Excel. For Google Sheets, upload it to Google Drive and open it with Google Sheets. Google's help page says an Excel file opened from Drive can be edited in Sheets.
  • Why pay when free calculators and this guide exist? Everything above works on paper. What $5.99 buys is seven results done for you as you type: labor cost, supply cost, total cost, selling price, profit, margin and a status word. The cells are locked so a stray click cannot overwrite a formula. There is no free sample.
  • What do I get? One workbook, by email after checkout. It prices one order from typed costs, and you type the wedding's totals.
  • What if I get stuck? Every sum is printed in this guide, so you can check the sheet by hand. The first tab, How to use, has three short sections.

For a wedding quote you have to send, the Cake Price and Margin sheet holds those lines.

Frequently asked questions

How much does a wedding cake cost to make?

It depends on the tiers and your time. In the example here, a 6, 8 and 10-inch stack costs $20.00 in ingredients, $126.00 in labor for 420 minutes and $7.50 in boards and boxes, which is $153.50 before any margin.

How to calculate the cost for a cake?

Add the ingredients, your labor at an hourly rate, and the box, board and liner. For a wedding cake, add the tasting, setup and delivery minutes to the labor. Then divide by one minus your margin to get the price.

Conclusion

A wedding cake cost calculator needs three timers as well as three tiers. In the example, ingredients for a 6, 8 and 10-inch stack are $20.00, the work is 420 minutes or $126.00, boards and boxes are $7.50, and the cost is $153.50. At a 40 percent margin the quote is $255.83. Every minute and pack price here is an example, so time your own tasting, bake, setup and drive, and add fuel and a deposit rule to your own quote.
